As a cooperative preschool, SHPS has the good fortune to attract members who have a keen interest in participating in and contributing to their children’s education. While the primary vehicle for this involvement is usually co-oping in the classroom, every family also has the opportunity to bring its special talents and interests to the school by serving on one of our many committees. SHPS committees are involved in every aspect of the school. Together with our board of directors, the committees help the school run smoothly. Committee work also provides a great opportunity to work with and get to know other parents and enriches the school experience for all the children.
Below are descriptions of our committees as well as some important individual positions that fall outside the scope of committees. Each committee has multiple members, depending on the need. Families are assigned to committees but may guide their assignment by indicating their committee preferences during the enrollment season every year.
Plans and implements all fundraising activities for the school, including gift-wrap (or other) sales, t-shirt/tote bag sales, restaurant nights throughout the year (including Dogfish Head Alehouse), and the annual Auction in the late winter.
Helps tidy the library, maintains and updates the catalog of books in the parents’ collection and in the teachers’ collection, catalogs book and media donations to the school, processes Scholastic catalog orders 2-3 times per year, and runs a fall and/or spring book fair.
Handles maintenance, cleaning, repair, trash/debris hauling, mowing and “handyman” work, or specific improvements that may be needed on the playground or in the building.
Runs Back-to-School Night, compiles the school directory, provides tours and information to prospective members throughout the year, handles all membership publicity, organizes Open House, and distributes and processes applications and enrollment forms.
Helps design the pretend room along themes, changing the room’s furniture, decorations, props, artwork and other materials on a generally monthly basis.
Social and Refreshments Committee
Organizes school’s social functions, including a Back-to-School Picnic, a winter function, and Family Fun Day in the spring. Provides cakes for the annual Auction as well as refreshments for school-wide meetings and events.
Two parents per class generally keep the rest of the class informed of upcoming events, organize class play dates, maintain a phone tree, cover for class coffees (meetings), and coordinate class gifts for the teachers.
Shoppers/Curriculum Projects Person
Shops regularly for paper and snack supplies, and/or helps with special project preparation to support the planned curriculum.
Responsible for maintaining the SHPS website and keeping information current on the member side.
Sleepy Hollow sends a delegate and/or board member to the Virginia Cooperative Preschool Council each year. The VCPC is an umbrella organization for 25 parent cooperative preschools in Northern Virginia whose goals are to offer a forum for information sharing, to provide assistance to member schools and to strengthen the parent cooperative movement.
Responsible for photographing all children and main school events throughout the year and creating a photo DVD for members.
In addition to our committees, some families choose to participate on the board of directors, which consists of the President, Vice President, Secretary, Treasurer, Fundraising Chair, Membership Chair, Maintenance Chair, Acorn Newsletter Chair, Parent Education Chair and Participation Chair.
